School ID Cards - How to Setup and Order in CORE

This article will go over the ID Card product options and how to setup and order ID Cards in CORE

Selecting Your ID Card Style

CCS offer multiple ID cards layout styles, including some options that allow you to customize the background of the ID card.  We offer horizontal cards and vertical cards.  Cards can also be punched for a lanyard clip.

Importing ID Cards into Your CORE Offers

To select your card, start by importing the ID Card products into your CORE account.

  1. Go into your CORE and go to the "Offers" page
Click on the the link "Click here to import an official CCS offer"
    1. Locate the offer named "CCS - (SCHL PRODUCTS) ID Cards"
    2. Locate the card style you'd like to offer and click the "Copy" button on that cards group header
    3. In the dropdown select the offer you use for your school event and click copy
  1. Go to your school event offer
    1. Locate the ID card grouping you just copied into your offer
    2. Select what tab you want to place it under and click update sort order
    3. ID cards are set to not show online.  If you want your customer to be able to order ID cards online you'll need to change that setting under advanced options within the package settings.

Creating Custom Card Backgrounds

  1. If you selected a card that has a custom background, you will need to create your background.  Your background can be a solid color, a graphic or a photo of something. It's important to make sure your background does not conflict with the location of the image, text and logo that will be printed on the card.
    1. Keep in mind that the image node and the text nodes on the card cannot be moved.  You will need to design a background that does not conflict with the image and text locations.
    2. For horizontal ID cards your background image should be 3.37 inches wide x 2.12 inches tall or 1011 pixels wide x 636 pixels tall at 300 dpi saved as an RGB JPG.
    3. For vertical ID cards your background image should be 2.12 inches wide x 3.37 inches tall or 636 pixels wide x 1011 pixels tall at 300 dpi saved as an RGB JPG.

    4. Once you have your background created, you will need to setup an ID Card Background event in CORE to upload your background(s) to.
      1. Setup an event in the market your event will be in and name it "ID Card Backgrounds"
        1. Upload your backgrounds to this "ID Card Backgrounds" event.  We recommend you name the folder something that is meaningful, like the school name or initials and year
          1. Example:  WHHS_2023

Assigning Your Custom Background  on Your Event

  1. Setup your actual school event and assign your school offer to the event
    1. While in the event, click on offer setup on the left menu, confirm your offer containing your ID card is set and saved
    2. Click on "Custom Art Override" on the left menu under offer setup
    3. Enter the event number, folder where you uploaded your ID Card background and the image name.  Check the boxes and save
      1. Make sure you set the appropriate background by orientation H = Horizontal, V = Vertical
    4. Your cards will now use the background you just assigned to your ID Card products

Note:  You have the option to have your ID card produced as a digital download.  We suggest you order at least one card (of each style you'll be using on the event) as a digital download to confirm the card looks the way you expect it to look before ordering the actual ID cards.  This will save you time and money in the event there is an issue you need to fix with your background, your logo and/or fonts.

Ordering ID Cards (single or a test card)

To order a single ID card for a single person or for a test order

  1. Go into CORE and into your event
  2. On the left menu select Order > Individual
  3. Select a name or search for a name, then click next
  4. Select an image
  5. Select your ID card product and enter quantity you'd like produced > add to cart
  6. Select Titles/Caps to confirm all your captions are filled in > Continue
  7. Select Check Out
  8. Select Carrier and enter shipping and contact information > Continue
  9. If this is a free or test card, select under Misc. > Automatically Transmit this order and Flag order as not charge > Complete Order

Ordering ID Cards in Bulk (Entire event or by division)

To order for all or by division follow these steps to order your ID cards

  1. Go into CORE and into your event
  2. On the left menu select Order > Bulk
  3. Select ID Cards or ID Strips
  4. Under "Choose a package", select your ID Card
  5. Under "Choose how to group names into orders": Select Group by Grade-Homeroom    (Note: you must have imported Grade and Homeroom with names, in order for this to work)
  6. Under "Choose a Grade":  Select ALL or the specific Grade you want to print                  (Note: you must have imported Grade with names, in order for this to work)
  7. Under "Choose which image to order":  Select Default or Yearbook                                 (Note: for this to work each student must have a default or yearbook image selected.  If no "yearbook" image is selected, it will use the default image as the yearbook image.)
  8. It will default to All Images that are IDd to a name
    1. You can optionally select to only print specific sets of images
  9. Carrier will default to "return in box"
  10. Packing will default to "Cust box"
  11. Other Settings:  you may choose to exclude or limit to names marked as "Is Teacher"
  12. Shipping Destination:  Either select an address you have previously used or add new    (Note: Since the Card order will be returned to you, the address is more about the person in your office the order needs to be addressed to.)
  13. Click Continue > On the next page it will show you the orders created
  14. Click Orders at the top of the page
  15. On the left menu click Transmit Orders
    1. Click on the number under "Need to Transmit" and next to the market you ordered your ID Cards
    2. Narrow to the event you ordered the card for
    3. Check the order IDs you want included in this batch
    4. Click Preview Orders > double check all captions are filled in (if not click edit to correct)
  16. Click back on Transmit Orders on the left menu
    1. Under Batch Orders, select Batch by Event, Sub-Batch by Grade-Homeroom (Note: you would have to have imported grade and homeroom with names for this to work)
    2. Under Dropship select no if returning to you, select Yes if you want CCS to ship to your customer/organization
      1. If Yes, enter the customer address information
    3. Under Override Shipping Methods select Packing Method: envelope
      1. Carrier: Return in Box (if not dropshipping)
      2. Select if you need order Rushed or Not
      3. Check the order IDs you want included in this batch
      4. Click transmit to lab
    4. Click on Transmit Orders on the left menu > make sure orders transmit and don't fall under "Stalled"
      1. If orders Stall, click on the number to see why the orders stalled.
      2. Fix the issue causing the order to stall and then click reset all retries
      3. Confirm orders clear without stalling
