QR Code Registration/Check-In Setup

Online registration/check-in is the best way to collect name and contact data. It eliminates the need for you to type in the data and you can customize the registration/check-in site to collect data and optionally a selfie for IDing images.

Registration/Check-In Setup

  1. When you setup your event, make sure you have selected “QR Code Registration” under the add-on section. This option can be setup on your workflow level so it’s automatically selected when you setup future events.
  2. Once your event is setup, select QR Code Registrations on the left menu
    1. Then select Edit Registration Settings


Name Registration Settings

  1. Address Collection Mode: select what contact info you want to prompt for
  2. Address Options:
    1. Allow participant to edit first and last name (only uncheck if you are importing a roster and you don't want them to change their name)
    2. Allow participant to edit team/division/category (only uncheck if you are importing a roster with names and divisions and you don't want them to change their division)
    3. Hide the "Add Another Contact" button (only check if you are not needing additional contact data)
  3. Disable Registration Options:
      1. Disable registrations when event is active (only check this if you are not making the event active until you've collected all registrations and photographed the event)
      2. Disable registration on a specific date (only check this if using event registrations and set for the day after the event date)
  4. Import Options:
    1. Manually review new names instead of auto-adding (only select this option if you are importing a roster and you want to manually match up your registrations with names you've imported)
  5. Header Options:
    1. Hide branded header on registration page (Recommended.  If you have links or order info on your header, keep it hidden)

Name/Address Prompt Overrides

Theses headers and prompts default to what you see in the boxes.  To change the headers or prompts, type in the box what you want to change it to.

 

Email Receipt

If you'd like to send and/or receive an email with the registration/check-in confirmation check the appropriate box(es).

If checked either box you’ll be able to customize the email message.

Make sure to leave the information you see in the message and just add your text around it.

There are optional merge fields that can be used in the message.

 

Custom Prompts

You can enter up to 25 custom prompts.  Including the prompt to upload a selfie. 

Keep in mind, if you are using PhotoMatch to positively ID images, we do not recommend prompting for a selfie.

You should only prompt for a selfie if you intend to use the selfie image to run face recognition to ID images.  This is primarily used for Graduations.

Event Registration

If you are utilizing "Event Registration" you will share the event registration QR Code found on the event details page in CORE.  When using "Event Registration" everyone will scan the same QR and/or go to the same registration page URL.

Example:

At the event, it's extremely important that everyone that will be photographed, scan the QR and register.  If you are using face recognition to ID the images, you'll need to prompt for a selfie.

Examples of graduation events where graduates are asking to scan the QR and complete registration/check-in and upload a selfie.

Name or Name Placeholder Registration

If you are utilizing "Name or Name Placeholder Registration" you will create via CORE Print unique QR Registration cards for each subject.  When using "Name/Name Placeholder Registration" everyone will have their own unique QR code and go to their own unique registration page URL.

Open Camera = Selfie Photo

When user selects to open their camera to take a selfie, there is an overlay oval to help align and get a closeup of the subjects face.

Upload Image File = Select photo already stored on phone

When user selects upload image file, they can browse for an image already stored on their phone.  This is helpful if a parent/guardian is uploading the image for their child.

Exporting Registration Data

If you need to export the data collected you can do so, by going to the names and contact data page and clicking export name data to excel.  (This is not necessary to process registrations, it’s in the event you need to share the collected information with your organization)
