PhotoMatch ID by Email and/or Cell

Don't need names? You can ID images to emails and/or cell phone numbers to match marketing your event images quick and easy. You simply have your subject enter and email and/or cell, then each photo taken after will be matched to that email/cell.

CORE EVENT SETUP

  1. Setup event in CORE
    1. If your workflow does not already have PhotoMatch and Chroma-Key selected (optional), make sure you select them before continuing
  2. Go to “ChromaKey” on the left side menu (optional)
    1. Click on the configure folder button
    2. From the dropdown select “add folder”
      1. Enter the folder name where the photographer will upload the images to (Note: this is the folder they photographer will log into PhotoMatch with.   Make sure they know what folder name you are setting up.)
      2. Check either or both options
        1. Allow customer to choose backgrounds online
          1. This option will prompt your customer to select a background when they click on a chroma-key image on the retail site (often referred to as “dynamic” backgrounds)
        2. PreRender images to a background
          1. This option requires you to set the event/folder/image of the background you would like CCS to place your chroma-key images on and what folder you’d like the to output to
        3. Repeat for each photographer/folder
        4. Select “Dynamic Backgrounds” on the left menu if you are allowing your customer to select backgrounds online
          1. Select your category
            1. Check the backgrounds you’d like to offer and save

PhotoMatch Setup

  1. Go to “PhotoMatch” on the left side menu
    1. Check Enable PhotoMatch
    2. Check Auto Process PhotoMatch Data
    3. Email: Enter the email address of the person in your office you want to receive PhotoMatch process emails (these emails are sent as PhotoMatch completes steps) (OPTIONAL, as this will send multiple emails)
    4. Image: Select use last image
    5. Packaging: Envelope
    6. Tax Rate: Select your tax rate
    7. Options: Check automatically transmit orders and/or registrations to the lab
    8. Options: Check Automatically enable event on the retail website after processing PhotoMatch data
    9. Options: Check ViewFirst: Event will sync as soon as images are received and continue to update as new images are received
    10. Click Save at the bottom of the page
  2. Go to “Offer Setup” on the left side of the page
    1. Select your offer
    2. Leave Font/Color set to Lab Default
    3. Enter all your captions and logos that will be the same for all

NOTE: A registration package/product must be in your offer. If not, you must add it before you can do online registrations.

 

  1. Go to “Online Settings” under Quick Links > Settings > Online Settings
    1. Under “General Settings”
      1. Check: Customers can find event by event name or date
      2. Uncheck: Customers can find by last name
  • Check: Customer can browse all images within this event
  1. Check: Allow customer to zoom in to view larger version of thumbnail
  2. Uncheck: Prompt for name and email address before displaying images
  3. Uncheck: Enable Online PreOrders
  4. Go to “Event Details” on the left side of page
    1. Click “Enable Event on Retail”
  5. While on “Event Details” on the left side of page
      1. Click “Enable Campaign Auto Queuing” in the pink box
      2. Templates that are set to go out on day 0 will queue and send as soon as images are received

    NOTE: you may want to wait and start the campaign after the event, as there is a delay cutting out the images which could cause the email to be received before the chroma-key images are cutout

    PhotoMatch at the Event

    1. Before you connect your camera to PhotoMatch, format your memory card IN THE CAMERA you are about to use.
      1. This is especially important if the card is new or has never been used in this camera.
    2. Connect your camera to the tablet via the USB cable
    3. Open the PhotoMatch Program
      1. Click Log In
        1. Enter the 8 digit event number from CORE
        2. Enter the folder number you want the images uploaded into

    Note: Each photographer must have a unique folder # (to avoid overwriting images)

    1. If a photographer changes camera during the shoot, they must use a new folder # (to avoid overwriting images)
    2. If your shoot is multiple days, each day must have a unique folder # (to avoid overwriting images)
    1. Enter your CCS Acct # as the password
    2. Check ID by Cell and/or Email
      1. Select ID by Cell and/or Email
        1. Note: the program will automatically sync every 30 seconds once you get logged in.
      2. Click the “Start Upload” button (if not automatically started)
        1. This will automatically open the upload program SNAP in the background
          1. The Images to Send # represents the number of images that have been taken but not yet uploaded
          2. The Images Sent # represents the number of images that have finished uploading
          3. Folder # indicates the folder the images are being uploaded to
            1. (Again… make sure each photographer is uploading to a unique folder #)

     

    1. You will now ready to add #s/emails and start taking photos
    2. Click the “New Participant” button
    3. Enter the subjects email and/or cell phone #
    4. Add additional emails/cells
    5. Click “Take Photos” button
    6. The “acquire image” window will open and you can then take the photos
    7. Notice there are 5x7 (Yellow) and 8x10 (Red) crop lines. Photographer needs to make sure the subject stays within those lines. Anything outside those lines will be cut off when products are produced. So you typically want the head slightly below the red line like the example below.
    8. Take as many photos as you’d like, make sure the last photo taken is displaying before you close the window
    9. When finished taking the photos of your subject or subjects, click the “Close” button
    10. Repeat for next subjects

    FINISHING THE JOB

     

    1. When finished photographing, confirm that all images have finished uploading
      1. When all images have been uploaded the number under “Images to Send” will read 0
        1. Note: You can finish uploading at a later time by logging back into this event via PhotoMatch.
    2. To stop the upload, click the “Stop Upload” button
    3. When you stop the upload the SNAP window will pop up with a recap.
      1. Click OK and it will close
    4. Click the “Log Out” button to exit the PhotoMatch event
      1. You will be asked to confirm you want to log out. Select yes
    5. Close the PhotoMatch program
    6. Shut down the tablet, don’t just close it and put it to sleep, do an actual shut down.
    7. Within 15 minutes of uploading your last image, the entire job should be finished and online
    8. Go into the event in CORE and confirm your event is online and displaying as you intended.
      1. Double check your chroma-key images are working as intended
      2. Double check your Email/SMS campaign and work any bounced emails
