PhotoMatch with Print On-Site ID Card Options

You can now print ID cards on site via PhotoMatch or in your office after the event via CORE Print

Getting Started Quick Guide

  1. Uninstall your current version of PhotoMatch
  2. Install the latest version of PhotoMatch                                                                                    IF THE SCREENS ARE NOT SIZED PROPERLY... FOLLOW THESE INSTRUCTIONS
  3. Connect your printer to your tablet/computer and make sure your tablet/computer recognizes the printer.  If not, you will need to install your printer driver.
  4. Install the Barcode39 font on each tablet (click here to download Barcode39)
  5. REPEAT 1-4 on every tablet/computer you'll be using to print ID cards on site via PhotoMatch
  6. Create your ID Card backgrounds in PhotoShop, Canva or any program you can create a jpg image.  
    We recommend your card background art contain all elements of the card that will be the same for everyone, such as the school name, year, logo, mascot, etc.  Only leaving the unique fields to be added via the template designer such as name, grade, student ID, etc.
    1. Horizontal Card Dimensions:  3.37 x 2.12 inches 300 dpi RGB Jpeg
    2. Vertical Card Dimensions: 2.12 x 3.37 inches 300 dpi RGB Jpeg
  7. Use the NEW COREPrint Template Designer to create your cards.  (How to Design your card)
  8. Assign your templates to your divisions within your event
  9. Use PhotoMatch to take, ID and print ID cards or you can queue to print the cards via CORE

NOTE:  If your state requires the Suicide Prevention Hotline be printed on the back of your cards, you'll need to pre-print the backs of those cards ahead of your photo day.

TKO KNOCKOUTS AND ID CARD PRINTING

ID card printing with TKO images is only supported if you photograph on the background you need for the ID cards and choose to keep the original image in your TKO setup in CORE. 

This option must be enabled for your account and you must first certify your background with Steve Foisy to make sure it will cutout.

This comprehensive step-by-step guide will assist you in updating PhotoMatch and COREPrint, as well as guide you through the process of creating and printing your ID cards.

STEP 1

Uninstalling older versions of PhotoMatch

  1. In your windows search field type (Add or Remove Programs) and click to open  
  2. Locate PhotoMatch and click the ... to the right and select uninstall
  3. Click Uninstall
  4. It may take several seconds to complete the uninstall.  

STEP 2

Installing the Newest Version of PhotoMatch

  1. Click to install the latest version of PhotoMatch                                                                     
    IF YOU GET A VIRUS WARNING.. FOLLOW THESE INSTRUCTIONS
  2. Locate the PhotoMatch icon on the desktop and right click on it and select properties
    1. Select the compatibility tab and click the Change high DPI settings button
    2. Check Override high DPI scaling behavior and select System (Enhanced) from the dropdown menu, then click OK                                   
    3. When back on the previous screen, click Apply, then OK
  3. Open PhotoMatch and click on the Settings Button
  4. Enter your Account Number and CCS Account Password
    1. Click on the folder icon to the right of the Hot Folder and point it to the hot folder on your desktop
    2. Check Auto Rotate
    3. Check Send Full Size
    4. Click on the folder icon to the right of the Destination and point it to the PhotoMatch folder on your desktop
    5. Check Show ID Card Print Option
    6. Save
      Repeat steps 1-4 on all tablets

STEP 3

Connecting and Setting up your On-Site ID Card Printer

  1. Connect your printer to your tablet (you will need a hub adapter with at least 2 USB ports.  If you plan to use a scanner you'll need 3 USB ports, click here for recommended hubs)
  2. Power on your printer
  3. In the windows search type:  Printers & Scanners and click to open those settings
  4. If you see your printer, click on it to expand the menu
    1. If you don't see your printer, you will need to install your printer drivers. 
      1. If you purchased the recommended Evolis Badgy 200 it comes with a thumb drive that contains the drivers for the printer. 
        1. Note:  You only need to install the drivers as you won't be using the Badgy software to produce the ID Cards.  https://www.badgy.com/technical-support/#drivers-firmware#badgy100-200-windows
  5. Once you see your printer in your list of printers, close the printers & scanners window
  6. Repeat 1-5 on every tablet/computer you'll be using to Print ID Cards

STEP 4

Installing Barcode39 Font

  1. If you have a barcode on your ID cards, you'll need to install barcode39 on each tablet
  2. Click here to download and install barcode39
    1. After downloading click the Install button in the top left

STEP 5

Create Your ID Card Background

For horizontal ID cards your background image should be 3.37 inches wide x 2.12 inches tall 300 dpi saved as an RGB JPG.

For vertical ID cards your background image should be 2.12 inches wide x 3.37 inches tall 300 dpi saved as an RGB JPG.

We suggest at minimum you include your school name & logo as part of background image.  You can also include any graphics or text that will be the same for everyone, such as school year.

A background image is not required if you just want white cards with no logo.

STEP 6

Installing Newest Version of COREPrint

(Note: COREPrint Only needs to be installed on computers in your office to print via CORE.  It does not have to be installed on the tablets using PhotoMatch)

  1. Click here to install CORE Print on the computer(s) that you'll be designing ID cards from or printing via CORE
  2. Open COREPrint and login using your CORE URL and the username and password you use to log into CORE 
  3. Once logged into COREPrint click on the settings button
    1. Next to Images Folder click the ... button and point it to your PhotoMatch folder on the desktop
    2. Check Crop proofs to 5x7 aspect ratio
    3. Check Use CCS preview instead of CORE image
    4. Check Use medium resolution non-watermarked image
    5. Refresh Timer:  5
    6. Click OK

 

STEP 7

COREPrint - Printer Setup in CORE

  1. After installing COREPrint and logging into COREPrint, go into CORE
    1. Go to Emails/Proofs Page
    2. On the left menu go to Printer Settings
    3. Under Inactive Printers locate your computer and the ID Card Printer
    4. Check it and click Activate

If you don't find your computer/printer in the list, go back to that computer and log into COREPrint, then return to CORE and refresh the page

Repeat the COREPrint steps on each computer you'll be using to design cards on or print via CORE

 

STEP 8

Creating Your ID Card in COREPrint Template Designer

  1. Open COREPrint
  2. Sign in using your CORE URL address and the user and password you use to log into your CORE account
  3. Click on the Template Designer button
  4. Select File New
  5. Enter the Name, Description, Module, Paper Type (either ID Card - Horizontal or ID Card - Vertical) and # Images, check active and click OK
    1. Make your template name something you and your staff will recognize when you are ready to assign the template to your division(s) in CORE
  6. Use the toolbox on the upper left to drag in elements of your card
    1. Start with your background image (not required, card will be white if no background is imported)
    2. Drag and position an "Image" an expand it to fill the page. 
      1. Make sure it fills the entire template if the image is your background.
      2. Make sure your image does not go beyond the paper size
    3. Browse for your background image and click Upload Image from Disk
      1. Your card background should fill the entire space (but don't go beyond the paper size)
    4. Drag in a "Proof" and size & position it where you'll like it on the card.  The image size should be a 5x7 aspect ratio.  Example:  Width: 90  Height: 1.25 (recommended size)
    5. Select Your Proof:  Picture1
       
    6. Now drag in text fields and position them where you want them.
      1. You can edit the font style, color and size after you enter the text
    7. If you want to include a barcode, make sure to start and end the merge field with an *
      Example:  *ExtNameID*  will give you a barcode of the student ID 
      1. We recommend the bar code be black, regular and not bold and font size between 10 and 14
    8. If you have added "CustomName" fields in CORE that you plan to import data into, you can add those fields also
    9. When finished with your design, save the template and close the designer

 

Available ID Card Merge Fields in COREPrint Template Designer

For most data you'll need to include on an ID card, there is an existing merge field. 

Most commonly use data merge fields will be.

$FirstName$ = Student's First Name

$LastName$= Student's Last Name

$ExtNameID$ = Student ID

$Grade$ = Grade

$Homeroom$ = Homeroom or Teacher

If you have any data or icons you want to include on an ID that does not have a merge field you can either include it as part of your background (if the same for all) or use custom name fields. 

To add caption prompts as custom names enter the exact caption prompt as a custom name field.  You will then use those CustomName merge fields in your card design.

Example:

$CustomName1$

$CustomName7$

The number after the CustomName corresponds to the name field you entered the caption prompt.

If you have custom icons the school uses for thing like "Library Pass", "Bus #", "Athlete Pass" and those need to be small images on the ID card, you can utilize customimage fields when designing your cards.  To use custom icons/images, you'll import those into the CORE Print> Custom Images folder on the Settings Page > Website > File Manager > COREPrint > CustomImages

The images must be saved as a .PNG and named with no spaces in the name

Examples:

This allows you to import the image info needed for each student when you import your roster.

You can import up to 10 custom images per person.  In the spreadsheet you would enter columns names CustomImage1 | CustomImage2 up to CustomImage10

Then enter the .png name under the CustomImage field you want it placed on the card.

Example:   CustomImage1      |   CustomImage2   |   CustomImage3

STEP 9

Assigning Your ID Card Templates to Your Divisions in CORE

  1. Go into your event in CORE.
  2. On the left menu select Divisions/Categories.
  3. If you have already imported your divisions, select a Print Template for each division.  If you are adding your divisions one by one, you can select the template as you enter each division.
    1. Depending on your school's need, each division may have a different template or may use all the same template.
    2. The template assigned to the division will determine which card design will be used for the students in that division.

 

STEP 10

PhotoMatch ID Card Setup

  1. Open PhotoMatch
    1. Click on the settings button
    2. Check the option "Show ID Card Print Option" and save
    3. Repeat on every tablet/computer you'll be using to Print ID Cards

 

STEP 11

Printing ID Cards via PhotoMatch

We suggest taking the first image for the ID card and marking it as the default image, queuing the ID, then take your other portraits.  This way the ID card can be printing while you take the other photos, which will speed up the time you spend with each subject. 

  1. Open PhotoMatch
  2. Click Log In
  3. Enter your Event Number, Folder, Photographer Name and Acct# 
  4. Check Enable ID Card Printing and select the LOCAL printer connected to your tablet/computer from the dropdown and log in.

    Note:  the printer name will show (LOCAL) behind the name.  Using a LOCAL printer will allow you to print without opening CORE Print


  5. Make sure you are connected to the internet and image upload is enabled
  6. Pull up a name in PhotoMatch
  7. Take photos
  8. Select a photo from the right thumbnails and check the default/yearbook box                    (We recommend taking the ID Card image first and start the printing, then go back and take the other poses/images.  This way the card can be printing while you take the other photos.)
    1. The "Create ID Card" button appears
    2. Click the "Create ID Card" button to view a preview of the ID Card
    3. If the card is correct, click "Print".  
      Note: Image must be uploaded before you a print the ID Card 
      1. If card is not correct, click close.  After close you can change the division or click edit to edit the card captions.
    4. Card will be sent directly to the printer if using a local printer or to CORE Print and then to the printer, if sending to a printer not attached to your PhotoMatch tablet.   
      1. Takes about 60 seconds to print.
    5. Once card is sent to printer you can close the ID card render window and continuing taking photos or close and pull up a new name.

 

Printing ID Cards via CORE instead of On Site

  1. We suggest creating and ID Card Queue Profile
    1. Go into CORE then  to Emails/Proofs >Template settings on the left menu > Queue Profiles
    2. Use these settings and save
  2. Go into the event in CORE
  3. Go to Order on the left menu, then select Queue Print Template
  4. Select your printer
  5. Select your ID card template
  6. Select your sort order
  7. Select profile "sequence cards"
  8. Select to only print for "ID'd"
  9. Select either a single division or all divisions and Queue
  10. Open CORE print on the computer you selected as your device to print the cards
