Photographing the QR Codes to ID Images

You can use a unique QR Code to ID images by photographing the QR Code, then photographing your subject. Information contained in the QR Code will automatically be matched to the images taken immediately following the photo of the QR Code.

QR CODE IDing

In CORE you can generate a unique QR Code for each subject to be photographed.  At the event, the photographer will photograph the QR Code just before photographing the subject.  Each photo taken after the QR Code will automatically be identified to the name associated with the code.  It is critically important that QR Code be perfectly flat when photographed and the photo of the QR Code be properly exposed, in focus and take up at least 25% of the image, with no obstructions.  The same code can be scanned for registration and/or to go directly to the subject’s personal gallery of images on the retail website.

 

Setting Up a QR Code Event

  1. When setting up your event, select the QR Code Registration add-on feature and Auto ID images by photography QR Code. This can be set on your workflow also.
  2. Select your offer and set your captions and logos
  3. Import your roster
    1. You’ll want to try and get as much contact information as you can, but at minimum, you’ll need:
      1. For schools: FirstName | LastName | Grade |  Homeroom |  Division
        1. Note: the division is how students will be coming in to be photographed, so if students come by grade and homeroom, then your division needs to be Grade-Homeroom
      2. For sports: FirstName | LastName | Division
        1. Note: the division is typically the team, but since teams could have the same name, best practice is the make the division TeamName-CoachName.   If photographing multiple teams, you may want to add the age to make it easier for parents.  Example:  12u-TeamName-CoachName
  4. Go to QR Code Registrations on the left menu
    1. Depending on the number of names you are importing and how quickly you get to this page, the codes may still be generating. If they are you’ll see a status of the progress.
    2. When it’s complete the page will look like this, telling you the number of codes that have been generated
    3. If you expect to photograph students/teachers/staff not on your roster, you’ll need to create some place holder cards that can be used for those subjects.
      1. Click the “Create QR Codes for New Placeholder Names
      2. Enter the number of placeholders you think you’ll need and click continue
        1. Note: It’s better to have extra, than not enough.
    4. Click back on Names & Contact Data to confirm the QR Codes have been assigned.
      1. You’ll see them in the Registration Code column.
  5. Click on Divisions/Categories
    1. If you have products in your offer that require a product style, select a style for your divisions by clicking the edit/add divisions button, then clicking the bulk update product styles button. From there select your style and save.
  6. Click on QR Code Registrations on the left menu
    1. Click Edit Registration Settings
      1. Under Name Registration Settings select the following options
      2. Under Name/Address Prompt Overrides, you can leave at the default settings
         
        1. Under Email Receipt, choose if you’ll like to send a confirmation email after registration is complete. Leave unchecked, if you do not want to send a confirmation email.
        2. Under Custom Prompts you can leave at 0.
  7. Click on order on the left menu
    1. Select Queue Print Templates
    2. Select the printer you want to queue the QR Code Cards to
    3. Select your QR Code template (we recommend using the CCS Default template)
    4. Sort Order: Select division, last, first
    5. Queue Profile: Sequence Cards
    6. Click Queue
  8. Click on the Queues page
    1. Click on print jobs
    2. Find your print job and select it
      1. Choose your printer again
      2. Choose your sort order: division, last, first
      3. Check the Stack Sort option
      4. Click update Jobs
  9. Open the CORE Print program
    1. Find your print job
    2. Right click to set printer preferences
      1. Apply
      2. OK
    3. Right click print job

Photographing the QR Code

At the event, the photographer will photograph the QR Code just before photographing the subject.  Each photo taken after the QR Code will automatically be identified to the name associated with the code. It is critically important that QR Code be perfectly flat when photographed and the photo of the QR Code be properly exposed, in focus and take up at least 25% of the image, with no obstructions.

Having a card that contains all the pertinent information for the subject is best, in the event the QR Code is unreadable, you’ll still be able to identify the subject.

If the photographer fails to photograph the QR Code BEFORE photographing the subject, you will have to manually correct the identification of images in CORE.

Uploading the Images

  1. Launch CCS Uploader
    1. Add the images to folders and upload
      1. Images do not have to be in any particular folder, but they must be uploaded in the order they were taken

Managing the Images in CORE

  1. Once images have uploaded you will go to alignment categories and lock your folders
  2. Then click on align images on the left menu, save alignment and mark complete
  3. Click on QR Code Registrations on the left menu
    1. Click Import QRCode Image Scans and it will show you the # of scans imported
    2. Then select Review Image Scans on the left menu
    3. On this page you will check your QR Codes and Images to assure they have properly matched
      1. If all QR Codes were readable, you should see a QR Code, then that subject’s image(s) listed under their Registration Code
      2. If you find images that did not properly match, you will hover over the image until you see the edit button. Click the edit button to open that image.
         
        1. Type in the Registration Code that belongs to the subject in the image and click save to properly ID the image
          1. Proceed through all the pages until you have confirmed the matches
          1. When you finish reviewing all the images, click on Apply Image Scans on the left menu
            1. Then click on ID Names based on QRCode Image Scans
            2. On this page you can also see the stats for this event’s images

Enabling the Event and Starting the Campaign

  1. Click on Event Details on the left menu
  2. Click Enable Event on Retail
  3. Confirm you have an email campaign assigned
    1. If not, click on settings under the Quick Links, then event settings and assign your email campaign and save
  4. Click Enable Campaign Auto Queuing

Retakes

  1. If you have students that need retakes, you will need to use the same QR Code if you want to auto ID using QR Codes, or you can ID them manually via the ID images page after the photo day.
