REGISTRATION - The Different Types of Registration

There are 3 types of online registrations; Event Registration, Name Registration and Placeholder Name Registration. Learn the difference in these registration types and when you should use them.

Overview of the Different Types of Registration

Event Registration (with or without selfie upload)

All subjects go to the same online registration page.  This means the QR Code and URL link are the same for everyone.

Event Registration is used when you don't import a name roster and would like to have just one QR Code/URL link to share with your organization.

Can optionally have subject upload a selfie that can be used to ID images later if not using PhotoMatch

Requires a good internet connection.

Pros of Event Registration

  • Only one QR Code/URL
  • Easy to share with organization
  • Easy to share on social media
  • Can be posted on yard signs, posters, flyers, card, etc. to be shared with participants before and during the event
  • Can setup registration stations on your provided devices internet enabled device(s)  
    • If you choose to use your devices you'll want to go to the registration page in kiosk mode.  This mode automatically recycles the registration page for the next person to register.  Use the link below and replace ACCT# with your account number and EVENT# with the 8 digit event number from CORE  https://regis.viewyour.photos/kiosk/ACCT#/EVENT#

Cons of Event Registration

  • Can't control the number of times someone registers (could result in duplicate names)
  • Must have a good internet connection to use on site



Name Registration (with or without selfie upload)

Each name imported into CORE gets its own unique registration code.  This means each subject has their own unique QR Code and URL link that takes them to their own online registration page.

Name Registration is used when you import names with or without contact data.  You will print QR Code cards via CORE and CORE Print to be distributed to the subjects to be photographed.  Since each QR Code/URL is unique to each person, they must be given the QR code card with their name.  Cards can easily be created and generate via CORE Print.

Does not require internet to use with PhotoMatch

Pros of Name Registration

  • Can be used without an internet connection
  • Cards can be scanned with PhotoMatch to quickly pull up names
  • Prevents duplicate registrations
  • If subject registers more than once, data is merged automatically only updating new info received
  • Cards can be sent home with subjects to collect additional contact data and/or get to the subject's personal gallery

Cons of Event Registration

  • Can't share a single QR to be shared by organization
  • Must print cards with the name and unique QR codes/links (this is done via CORE print)
  • Must get each person their unique card



Name Placeholder Registration (with or without selfie upload)

Instead of importing names, you use placeholder names to secure unique registration codes for each name.  This means each subject will be given a unique placeholder QR Code and URL link that takes them to their own online registration page.  Once the subject completes registration, their name will be updated from the placeholder name to their name.

Placeholder Name Registration is used when you don't import names but want everyone to have a unique QR Code/URL.  You will print QR Code cards via CORE and CORE Print to be distributed to the subjects to be photographed.  Since each QR Code/URL is unique but is using a Placeholder Name, cards can be given to any subject, making it easy and quick to distribute.  Cards can easily be created and generate via CORE Print.

Can optionally have subject upload a selfie that can be used to ID images later if not using PhotoMatch

Does not require internet to use with PhotoMatch, IF you plan to scan the cards to pull up names.

Pros of Name Registration

  • Can be used without an internet connection (if using a scanner)
  • Cards can be scanned with PhotoMatch to quickly pull up names (may still be the placeholder name so scanner is required)
  • Prevents duplicate registrations
  • If subject registers more than once, data is merged automatically only updating new info received
  • Cards can be sent home with subjects to collect additional contact data and/or get to the subject's personal gallery

Cons of Event Registration

  • Can't share a single QR to be shared by organization
  • Must print cards with the name and unique QR codes/links (this is done via CORE print)
  • If no internet, you can't tell if subjects have registered and if they have no internet at the event, you can't guarantee they will register after




 

Registration Setup

Keep in mind registration can be setup on your workflow so you only have to set it up once.  If you choose or need to setup registration on your event level you can.  

To Edit Registration Settings on a Workflow

  • Go to the Settings Page
    • On the left menu select Workflows
    • Select the Workflow you want to edit by clicking edit to the left of the workflow or select the "Create Workflow" tab to create a new workflow
    • Once in the workflow go to the "QR Code Registration Settings"
      • Click on the "Edit QR Code Name Registration Settings" button
      • The settings you select/enter here will be determined by your event type and if you also imported a roster.  Refer to the Event Types articles to guide you on the exact settings you should use for your specific event.

To Edit Registration Settings on the Event Level

  • Go into the event in CORE
    • On the left menu select "QR Code Registrations"
      • Select "Edit Registration Settings"
      • The settings you select/enter here will be determined by your event type and if you also imported a roster.  Refer to the Event Types articles to guide you on the exact settings you should use for your specific event.
