This is where you will find all of your comprehensive sales and order activity reports for your account. An additional log in is required to access the reporting site.

Go to the Reports Page in CORE.

  • Select https://reporting.partypics.com/ in the middle of the page.
  • Log into the reporting site to access your reports.
    • Your log in requires your account number and your CCS Account Password

Summary of Reports

How your events are doing...

Master Event Report

View total sales on events that occur within a specified event date range. This is helpful when determining total sales of an event. 

This report includes:

  • Number of attendees (if you used online registration or imported names)
  • Number of images uploaded and average number per attendee (if you used online registration or imported names)
  • Number and percent of images ordered from
  • Number of orders
  • Average Order
  • Average lab cost of orders 
  • PreOrder Sales
  • Online Retail Sales
  • Total Sales
  • Sales per image
  • Sales per attendee (if you used online registration or imported names)
  • Hosting Fees = Ecommerce Fees
  • Postage Cost
  • Shipping Cost
  • Print & Product Cost
  • Total Profit
  • Time (# days from event date) to post images online

Margin Report

View event sales, cost and margins.  This is the most comprehensive report to determine your margins (profit) on events.

This report can be viewed by:

  • Received date, which is the date the order was received at the lab.
  • Invoice date, which is the date the order was completed and shipped by the lab.
  • Event date, which is the date the event took place.

To view all sales for an event, view the report by event date, or make sure your dates are before and after the first and last order received and/or invoiced.

This report includes:

  • Number of attendees (if you used online registration or imported names)
  • PreOrders - Subtotal, Adjustments, Discounts and Shipping Collected, Tax and Total
  • Online Orders  - Subtotal, Adjustments, Discounts and Shipping Collected, Tax and Total
  • MOE/CORE Orders - Subtotal, Adjustments, Discounts and Shipping Collected, Tax and Total
  • Combined Order Total
  • Print & Product Cost
  • Postage Cost
  • Shipping Cost
  • Payment Processing Fees

Event Sales Aging Report

This report can be run by event date range.  In this report you can view how your event sales come in over time. You can use this report to project when to expect sales on future events. This allows you to predict how much an event will make over time.  Example: If you typically see 60% of your sales by day 10, you know that you should gain another 40% in additional sales after day 10 on a new event of its kind.

This report includes:

  • Total Sales
  • Sales received 0-7 days from event date
  • Sales received 8-14 days from event date
  • Sales received 15-30 days from event date
  • Sales received 31-45 days from event date
  • Sales received 46-60 days from event date
  • Sales received 61-90 days from event date
  • Sales received 91-181 days from event date
  • Sales received 182-365 days from event date
  • Sales received 366-731 days from event date
  • Sales received 732-1097 days from event date
  • Sales received 1098-1430 days from event date
  • Sales received 1431+ days from event date
    • Note:  CCS keeps images available for 15 years.  We encourage you to continue to market your images via consolidated email campaigns and take advantage of additional sales.
    • Our retail division Candid Color Photography sales over the past 10 years.  Most of our events are "View First".  Over 22% of the total sales has come after 30 days.
      • Sales received 0-7 days from event date 32.8%
      • Sales received 8-14 days from event date 23.2%
      • Sales received 15-30 days from event date 21.5%
      • Sales received 31-45 days from event date 6%
      • Sales received 46-60 days from event date 2.9%
      • Sales received 61-90 days from event date 3.5%
      • Sales received 91-181 days from event date 3.9%
      • Sales received 182-365 days from event date 2.7%

Event Comparison Report

This report allows you to enter two events to see how you did this year vs last year and compare costs with revenue.

Event Roll Photographer Analysis Report

This report allows you to view sales by image folder and photographer. Folders can be expanded to view thumbnails of the images.   Those images can be filtered to images sold.  This will give you some insight into what images sell vs images that don't sell.

This report includes:

  • Number of images taken
  • Number and percent of images sold
  • Number of products sold per images taken
  • Number of products sold per image sold
  • Total retail sales on images within the folder
  • Average sales per image taken
  • Average sales per image sold
  • All folders can be expanded to view the images sold vs not sold

Photographer Productivity  Report

This report allows you to view the productivity of each photographer photographing the event. This is particularly import information on candid, party pics style events, where it's imperative that photographers take many photos. 

This report includes:

  • Total number of images taken
  • Total number of minutes the photo was taking photos
  • Number of images taken per minute
  • Total sales generated on the photographers images
  • Sales per image sold average
  • Sales per hour average
  • Percent of images sold
  • Number of products sold the photographers images
  • Number of products sold per image taken
  • Sales per product sold

Missing Full Size Images Report

This report will let you know if you have any events that you've uploaded thumbnails and not the full size images. Full size images are required in order to product prints and products.

This report includes:

  • The event information
  • Event Date
  • Live Date (date the event was enabled on the retail website)
  • The expiration date
  • The number of missing images
  • To view which images are missing click on the details link
    • Under details you'll see the list of images missing
    • You'll need to return to the event either in the CCS Uploader program or PhotoMatch to upload the missing images.

Event Profit Report

This event will show you the sales on your event and a detail of all expenses on the event.  This is the best report to view exactly how much you have profited on a specific event.

The report includes:

  • Income on the event
  • A breakdown of sales
  • A detailed list of expenses
  • The ability to manually add expenses outside your lab cost, such as
    • Payroll
    • Shooting Fees
    • Rebates
    • Additional Expenses
  • You margins in dollars and percent
  • Event details, such as
    • # Participants
    • # Emails
    • # Images
    • # Orders
    • Average Order $
    • % Ordering

What you're selling to your customers...

Products Sold Report

This reports tells you what products you are selling.  This report is best used to learn what your most and least popular items are so you can optimize your offers by removing low volume products and replacing them with more popular options. 

This report includes:

  • The market the product was sold in
  • The product
  • Any modifiers on the the product
  • Quantities
  • Mobile orders vs. Full Site orders

Packages Sold Report

This report tell you what packages you've sold.  Much like the products sold report, but grouped by the packages you offer.  This report is best used to learn what packages are the most popular and least popular.  This report in combination with the products sold report, will help you modify and improve the packages within your offer(s).   Example:  if you have a package that rarely sells, maybe it contains products your customer is not interested in.  Use the products sold report to figure out the most popular products and create your package based on that information.

This report includes:

  • The package name (the name you gave it in CORE)
  • Total sold and sales
  • Total sold and sales from the mobile website
  • Total sold and sales for the full website
  • Total sold and sales keyed into CORE

Order Activity Report

This report allows you to view all orders that came in on an event for a specified period. This report can be run by.

  • Received Date = Date ordered received by CCS
  • Invoiced Date = Date ordered shipped/invoice by CCS
  • Event Date = Date of the Event

This report includes:

  • Order ID
  • Rec'd Date
  • Sort Date = Date the products were packaged
  • Mail Date
  • Invoice Date
  • Sales Collected
  • Discounts and Adjustments
  • Gift Certificates Redeemed
  • Product Cost (only after the order has invoiced)
  • Postage Cost (only after the order has invoiced)
  • Shipping Cost (only after the order has invoiced)
  • Payment processing fees
  • Hosting = Ecommerce fees
  • Customer Name
  • Ship to Zip
  • Event Name and Number
  • Event date
  • Market Typle
  • You can expand the order to view products ordered details

What you're buying from Candid...

Invoice Reporting

This report shows what you have been invoiced for by CCS. You can reconcile this report with your weekly emailed report from accounting by running it from Wednesday-Tuesday of invoice period.

This report includes:

  • Event
  • Sales
  • Product Cost
  • Shipping Cost
  • Payment Processing Fees
  • Ecommerce Fees
  • Credits
  • Gross Profit
  • Gift Certificates Redeemed
  • Non-Remit Sales (sales that you entered in CORE that CCS did not handle the funds)
  • Remit Sales (sales that took place online where CCS collected the sales on your behalf)
  • Payment Activity
  • Other Charges and Credits

If CCS collects sales on the retail website on your behalf, lab charges are deducted from your remit sales to cover your expenses.  Sales above and beyond your expenses are paid to you.

Example:   If you have $100 in sales and your total lab/shipping/payment/ecommerce expenses were $20, you'll be paid $80 on that order.

Sales Analysis Report

This is a monthly report that outlines Month-to-Date and Year-to-Date lab products and services you've ordered from Candid Color Systems.

This report includes:

  • The product code and description
  • Pearlized prints vs Non pearlized prints/products

Remittable Sales Reconciliation Reports

This report details each remittable order ID. within a specified date range.

This report includes:

  • Order ID
  • Event Number
  • Order Date and Time
  • Invoice Date and Time
  • Customer Name
  • Sales, Shipping, Tax, Gift Cert totals

Sales Tax Summary Report

This report gives you a summary of taxable sales and shipping and the tax.  You are responsible for setting up your States, Counties and Tax % in CORE.  Tax collected on the retail website and tax calculated on CORE orders is dependent on what you setup in CORE in your account.  All tax collected on the retail website is remitted back to you weekly.  You are responsible for reporting and paying sales tax on your sales.

This report includes:

  • State
  • Event Subtotal
  • Taxable Subtotal
  • Taxable Shipping
  • Taxable Sales
  • Event Subtotal Tax
  • Event Shipping Tax
  • Total Sales Tax

Again, these reports are reliant on you setting up the proper tax amounts for the states and counties you pay sales tax in.  CCS is not responsible for these settings or for any errors on sales tax collected on the retail website.

Sales Tax Summary Report w/County

This report gives you a summary of taxable sales and shipping and the tax separated by county.  You are responsible for setting up your States, Counties and Tax % in CORE.  Tax collected on the retail website and tax calculated on CORE orders is dependent on what you setup in CORE in your account.  All tax collected on the retail website is remitted back to you weekly.  You are responsible for reporting and paying sales tax on your sales.

Event Images

This report allows you to view images on a specific event.   This is a great way to watch images as they are being uploaded via PhotoMatch.   It enables to you review images as they are being taken so you can better manage your photographers by allowing your to "be at more than one event at a time".

Enter your event number to view images.  Refresh the page to see new images as they are received.

CORE Reports

Email Reports

View sales, delivery, clicks and bounced emails from here using filters for certain email campaigns or templates. You can view by event, template, campaign or domain. Email reports will show you which emails got delivered and which did not along with sales that are directly attributed to that specific email template. If you have an email that bounced, you can correct the email address here and resend them

Retail Reports

Here you can view chroma key background images that are selling and sales related to a discount code. Both helpful for seeing what is popular in your events. 

Custom Reports

View sales from cropped images (auto z-crop or manual z-crop)

Export Custom Products

If you have any custom products setup, this is where you can do an audit or download all of the orders that have been placed for that custom product.
