Student ID Cards for Virtual/Distance Learning Schools using Registration

You can create Student ID cards for virtual schools, using registration to collect required student info and allow them to upload a photo for their Student ID Card. PictureAdmin.com will give schools access to approve images before cards are printed

HOW TO SETUP THE REGISTRATION PAGE FOR COLLECTING DATA & PHOTOS

  1. Setup an event in CORE
  2. During setup, enable Yearbook Functions, Picture Admin and QR Code Registration

3.  Setup your offer, captions and logos (make sure your ID card is setup in your offer)

SETTING UP THE REGISTRATION PAGE

  1. Click on QR Code Registrations on the left menu
    1. Click on Edit Registration Settings
  2. Under Name Registration Settings select the following
    1. IF YOU ARE IMPORTING A ROSTER select these settings
    2. IF YOUR ARE NOT IMPORTING A ROSTER select these settings
  3. Under Name/Address Prompt Overrides enter the following
  4. Under Email Receipt
    1. You may optionally choose to send an email receipt and you may customize the receipt
    2. If you wish to send a receipt check "Send user copy of email receipt"
    3. If you wish to receive a copy of that receipt to your account email, check "Send me copy of email reciept"
  5. Custom Prompts
    1. Custom Prompts will vary based on the information you need to collect for your ID cards and/or information the school wishes for you to collect on their behalf. 
    2. Most information needed on the cards will be provided by the school, but custom prompts are a way to collect data not provided by the school, such as a photo of the student
    3. This will be the basic setup, you can omit or add additional custom prompts as needed

IF YOU HAVE A ROSTER WITH EMAILS FOLLOW THESE STEPS

  1. Go to the names and contact data page
  2. Import your roster (make sure your roster includes all the data required to produce Student ID Cards, such as Student ID, Grade, etc.  Different styles require different information so double check your ID card product to make sure you import all the required information)
  3. Click on QR Code Registrations on the left menu
    1. Confirm the confirm the codes have been generated.  Names with registrations codes should be 100%
    2. Click back on names and contact data on the left menu.  You should see a registration code for each name.
  4. Click on Order on the left menu
    1. Select Queue Email/SMS templates
    2. Select the template for the email you want to send requesting registration (if you don't have a template contact support for assistance)
    3. Sort Order: set number
    4. Queue Profile:  sequence cards
    5. Click Queue
  5. Click on the Queues page from the top menu
    1. Click email jobs
    2. Find your email, check it and send yourself a test
    3. When received go through the process to make sure you have the registration page setup properly
    4. When ready, check the email job and click send jobs
  6. When you reach your registration deadline go to QR Code registration on the left menu within the event
    1. Click on Import Registrations
  7. IF you collected data using custom prompts other than an image that needs to be used as captions on products or shared with the school go to Names & Contact Data
    1. Click export name data to excel
    2. If you are using any of the collected data for captions, you'll need to delete all columns EXCEPT NameID, FirstName, LastName and the columns that contain caption data.
      1. You'll need to rename the column headers over the caption data to the correct header for the data you are using (Example:  Title Line 1)
      2. You'll then import the corrected/altered spreadsheet
  8. Enabling the PictureAdmin site for image review
    1. If you'd like your school to verify and approve images before you order ID cards you can grant them access to review the images on pictureadmin.com.  Click here to learn how.
  9. Ordering the ID Cards
    1. Click on Order on the left menu
    2. Select bulk > then select ID Cards or ID Strips
      1. Select your ID Card package
      2. Select the grades you want to order
      3. Select the divisions you want to order
      4. Choose carrier
      5. Choose packing method
      6. Choose a shipping destination
      7. Queue the Order
    3. Click on orders at the top of the screen
    4. Click on transmit orders on the left
      1. Find your order
      2. Make your selections and transmit
      3. Confirm the order clears the queue and does not stall

IF YOU HAVE A ROSTER WITH NO EMAILS FOLLOW THESE STEPS

  1. Go to the names and contact data page

  3. Click on QR Code Registrations on the left menu

  4. Create the URL link you will send to the school to share with the students.  URLs will be unique to each event so you will change the following url to include your acct # and event #.  https://regis.viewyour.photos/kiosk/acct#/event#
    Example:  https://regis.viewyour.photos/kiosk/11420/27100071
  5. In this scenario everyone goes to the same URL link to register
  6. When you reach your registration deadline go to QR Code registration on the left menu within the event
    1. Click on Manage New Registrations
      1. If a registration name matches a name you imported it will automatically align with that name in the drop down.
      2. The goal here is that registrations be matched up with the names you imported and the action you'll select is to choose an existing name.   This way names are not duplicated
      3. If a name does not already exist, you'll select create as a new name
  7. IF you collected data using custom prompts other than an image that needs to be used as captions on products or shared with the school go to Names & Contact Data
    1. Click export name data to excel

  2. In this scenario everyone goes to the same URL link to register

      1. You will want to verify that you only see one registration per student.  If you see more than one, only import one as a new name, then you can match the others to the existing name which will condense the collected data to one name.
      2. The goal here is that registrations be matched up so you don't have duplicate names
      3. If a name does not already exist, you'll select create as a new name
  4. IF you collected data using custom prompts other than an image that needs to be used as captions on products or shared with the school go to Names & Contact Data
