Requirements for 2-day turnaround

  • Events must be schedule by season deadline date (April 29th, 2024)
  • All images and data must be submitted by the date and time specified on your job request
  • Images and data must be organized as specified in Filezilla instructions (will be discussed below) artwork and/or retouching can add additional time/delay


Exceptions to standard turnaround time

  • Late requests can generally be accommodated but will incur additional fees and potentially delayed turnaround times
  • Digital artwork and/or retouching can add additional time/delay
  • Failure to organize your images and data as specified in Filezilla instructions
  • ID information that does not comply with approved methods outlined below
  • If we contact you for additional information needed to complete your job and there is delayed communication from your contact

BEFORE graduation season begins…

  1. Schedule your graduation jobs by using the White Glove Job Request Form
    Note: Please be specific with your scheduled date and time for your job to arrive to us. We schedule staff for your requested time. Jobs arriving more than 30 minutes late could result in a late fee and/or jobs not being completed within the standard 2-day turnaround time.

  2. Make sure you have installed and are familiar with Filezilla—this is the file sharing software you will use to send us all the data/images/videos for your events. (https://knowledge.candid.com/knowledge/white-glove-graduation-file-upload-filezilla)

  3. Read through this entire How To guide, consult with White Glove for any questions you have on the process or about your upcoming events.

Preparing for your events…

  1. You must include TWO forms of ID’ing and at least ONE must be from the list of PRIMARY options listed below.

PRIMARY OPTIONS:

  • Grad Cards scanned in the order photographed
  • Spreadsheet with graduates name and image name
  • Numbered list in the order photographed

SECONDARY OPTIONS (The following methods can only be used as backup):

  • Audio recording of the ceremony with the names called in order
  • Video of the ceremony with names called in order

Once your event is photographed…

  1. Prepare and upload images into folders as specified HERE. These folders will already be set up in your event in Filezilla based on the Grad Request information provided to us.


Refer to Filezilla video and/or written instructions for specific steps on transferring images and data.

  • After your images and data have been sent…
  • Make sure your contact listed for the event is available by phone and/or email for any questions that may arise.
  • All events submitted in accordance with Requirements for 2-day turnaround Listed above will be turned around within 48 hours. Missing data, images and/or digital artwork request will delay turnaround time.
  • Your contact listed for the ceremony will receive and email once the job is complete.

 

Helpful Hints

  • If the school is providing you a list of student names and email addresses we recommend getting a second email that is NOT an .edu email address as most student will not use this email after graduation.

  • Collect at least one copy of the program to share with us in case we have ceremony questions

  • Do not take duplicate photos, each pose should be unique (there is no need to take a duplicate image unless eyes are closed or a tassel is in someone’s face!). Duplicates not only cause a slowdown in the ID process but add additional extraction or rendering charges.

  • If you are photographing multiple ceremonies of the same school, each ceremony will be treated as a separate event so organize your folders accordingly.

The lab’s ability with respect to its obligations under this agreement or otherwise with respect to the service or otherwise shall not exceed the amount of the fee paid for by you for the service. The customer service option that is selected on your account will used here.
